Brand Experience, Fleet Coordinator

This position is responsible for all aspects of operations associated with the vehicles required for successful execution of consumer, dealer and media experiential programs and initiatives designed to achieve the DriveShop mission for the account, and serves as the key liaison between all DriveShop and account constituencies and stakeholders.


  • Maintains comprehensive knowledge to be considered a subject matter expert on the company’s proprietary Fleet Management System (FMS).   

  • Manages all aspects of event logistics on behalf of the Brand Experience team such as:

    • Cultivates relationships and communicates well with all internal stakeholders for vehicle sourcing and logistics.

    • Cultivates relationships and communicates well with external partners including Port personnel on vehicle arrivals and pre-delivery inspections and pick-ups, and vehicle trucking vendors to inform on-site POC’s.

    • Manages vehicle sourcing transport including the negotiation of bids.

    • Occasionally serves as on-site vehicle team lead for select events produced by DriveShop or other event management companies.

    • Assists with sourcing vehicle specific event assets as requested.

    • Oversees and manages key post-event deliverables, vehicle repairs, post-event responsibilities for borrowed vehicles to name just a few.

    • Manages billing and invoicing for all vehicle-related costs.

  • Partners with Risk Management to ensure comprehensive insurance coverage at each event as required for stakeholders and participants.

  • Manages all vehicle logistics required for non-production cars in the Auto Show and Brand Experience usage.

  • Manages Display vehicle logistics for Motor Sports events & races including but not limited to sourcing, transporting, and event assets (in the form of a shared Excel chart/doc), and attend bi-weekly planning meetings.

  • Co-manages with Manager, US Press Fleet all vehicle logistics associated with the major Global auto shows (Los Angeles, Chicago, New York), lease cars and media loans.

  • Manages logistics and sourcing for international and regional auto shows such as show car displays, pre-production or concept vehicles, specialized vehicle transport and technical vehicle set-ups related to show floor safety requirements, and attend weekly planning meetings.

  • Maintain post event invoice reconciliation/reporting (Excel) for POCs as they pertain to each budget.

  • Provides ongoing support to the Brand Experience and PR teams in other capacities as requested.

  • Works with DriveShop account services team to create, implement and support new services solutions.

  • May require being available on weekends as a POC for delivery/pick-ups from Auto Shows/Events.

This position does not have supervisory responsibilities.

  • Bachelor's Degree (B.A.) from four year college or university with an emphasis in Marketing or Business preferred and two to three years of experience in experiential marketing or operations required; or equivalent combination of education and experience. 


  • Basic auto mechanics knowledge and an interest in automobile performance aspects is a plus.

  • Strong organizational skills and an ability to juggle multiple programs simultaneously

  • Patience, flexibility and creative problem solving are often expected. 

Proficient with computer usage, Microsoft Office Software with an emphasis on Excel, G-Suite apps and social media apps.
